Step-by-step instructions
Cancel subscription only ends an Annual commitment if approved. Delete the workspace to stop Pay-per-use charges.
The Workspace owner signs in on web or mobile and goes to Account, Subscription. Cancel subscription appears after the free trial ends and a payment card has been added or the workspace has been billed once.
Choose a reason, review the acknowledgment that this is a request and approval is not guaranteed, then Submit.
Approved Annual cancellation switches the workspace to Pay-per-use. To stop monthly member charges, the owner opens Workspaces, the three dots next to the workspace, Delete workspace, and confirms.
Only the owner can request Annual cancellation or delete the workspace. An Annual workspace cannot be deleted until the term ends unless cancellation is approved.
You cannot change an invoiced subscription plan in the app. Contact the Account Manager or Concierge. A Statement of Work can require 90 days' notice not to renew.
Most Annual subscriptions cannot be cancelled before the 12-month commitment ends.

Refunds, downgrades, pausing and your data
Four questions people ask before they cancelExpensify's Terms of Service say all fees and charges are nonrefundable and there are no refunds or credits for partially used periods. An Annual cancellation request may be approved automatically if you have been billed only once and have no outstanding balance. Otherwise the 12-month commitment stays in force.
The owner can change plan type from Workspaces, workspace name, Overview, Plan type, then Collect or Control. Annual Control cannot downgrade to Collect before the term ends. Cancelling Annual moves the workspace to Pay-per-use, it does not delete it.
No pause of an Expensify Collect or Control subscription is documented.
Deleting a workspace is permanent. Submitted expenses stay available to admins, auditors, and the submitter. Closing the personal account from Account, Security, Close account permanently deletes the account and unsubmitted expenses. Shared workspace expenses can remain for legal and regulatory reasons. The privacy policy says personal data is deleted as soon as practicable after you stop using the service, except as required by law.
